County Vendor Payments

• How can a vendor update information such as an address or a legal name?

  
  To ensure payments are properly recorded with Palm Beach County, the vendor's legal name and address must match all documents filed with the IRS such as the Tax Identification Number (TIN) or Federal Exempt Identification Number (FEIN).

  Vendors should access the Palm Beach County Vendor Self Service (VSS) portal to update and maintain their vendor profile at:
  https://pbcvssp.co.palm-beach.fl.us/webapp/vssp/AltSelfService.

  Please note for individuals who are registered as a vendor and require an update to their information, the appropriate county department must be contacted for assistance.

  
  

• Can I submit an invoice directly to the Clerk of the Circuit Court & Comptroller’s office?

  
  Invoices submitted directly to the Clerk's office must contain information pertaining to the goods and services provided. Prior to submitting invoices for payment, please review the Palm Beach County contract and/or award letter.

  Helpful Tips:

  • The services provided must fall within the contract terms, including the contract period and all required documentation.
  • The unit of measure must match the contract/purchase order.
  • Include the contract/purchase order number on your invoice.
  • Appropriate signature authorization must be reflected on the invoice/request for payment.
    
    

• How do I inquire about the status of a payment?

  
  Payment inquiries should be made using the County’s Vendor Self Service (VSS) portal at:
  https://pbcvssp.co.palm-beach.fl.us/webapp/vssp/AltSelfService.

  Logging into the VSS system allows authorized and registered vendors of Palm Beach County to manage their account and view financial transactions including payment status and payment history. The VSS tutorial and User Guide are available resources within the portal.

  
  

• When will the payment be processed and the check released?

  
  Invoices/payment requests received at the Clerk's office are processed systematically in date order received to ensure equitable and fair treatment to all Palm Beach County vendors.

  Our office conducts an audit of each invoice/payment request against all governing authorities (state/federal statutes, Palm Beach County policies and procedures, contract/agreement terms, etc.) to ensure a public purpose is served and all requirements have been met. Once all terms have been satisfied, the payment is produced. This occurs no later than within 45 days of the receipt of a proper invoice within the Clerk’s office unless otherwise specified.
